Job Overview We are seeking a highly organized and proactive Office Assistant to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong customer support skills, be proficient in managing phone systems, and have experience in a receptionist role. This position requires a detail-oriented individual with excellent organizational abilities and proficiency in QuickBooks. Responsibilities Provide administrative support to ensure efficient office operations. Assist with customer inquiries and provide exceptional customer service. Maintain organized filing systems, accurate records, and manage office supplies. Coordinate communication between team members and guests via phone and email. Utilize Microsoft Outlook and Teams for document management and scheduling tasks. Support various clerical duties as needed to facilitate daily operations. Assist with Wholesale Accounts and Receivables as well as Invoicing Provide exceptional customer support to clients, addressing inquiries and resolving issues promptly. Maintain accurate records and manage scheduling for appointments and meetings. Utilize QuickBooks for financial record-keeping, invoicing, and basic bookkeeping tasks. Perform proofreading of documents to ensure accuracy and professionalism in all communications. Assist with administrative tasks such as filing, data entry, and inventory management. Collaborate with team members to improve office processes and enhance overall efficiency and cleanliness. Support the training of new staff members as needed. Book hotels and travel Support all operations of the business Qualifications Proven experience as an Office Manager or similar role. Strong customer support skills with the ability to communicate effectively both verbally and in writing. Familiarity with phone systems and front desk operations is essential. Proficiency in QuickBooks is highly desirable. Proficient in Outlook and Teams Excellent organizational skills with attention to detail. Ability to work independently as well as part of a team, demonstrating initiative and problem-solving skills.
