- The Welcome Center Coordinator supports the day-to-day operations of the Welcome Center, including oversight of the front desk, mailroom, computer lab, and SNAP (Food Stamp) volunteer services.
This position serves as a key team lead, working closely with staff and volunteers to ensure a welcoming, well-organized, and client-centered environment. While not a managerial role, this position provides guidance, support, and coordination to ensure smooth operations and a positive experience for all guests and team members. Key Responsibilities Operations Oversight (Mailroom, Computer Lab, SNAP)
- Ensure consistent volunteer coverage during all operational hours.
- Maintain compliance with organizational guidelines and best practices.
- Act as the primary point of contact for mailroom, computer lab, and SNAP-related issues.
- Coordinate onboarding and training of new volunteers assigned to these areas.
- Monitor supply needs and report equipment issues to appropriate staff (e.g., IT for computer lab equipment). Front Desk Operations
- Serve as a lead team member at the front desk, modeling professional and courteous client interactions.
- Support front desk staff in maintaining high standards of customer service and adherence to organizational policies.
- Assist with updating front desk procedures and training materials in coordination with the Director.
- Oversee the receipt, logging, and secure storage of mail, packages, and client documentation.
- Ensure all client and guest interactions are entered into Clarity or other designated systems daily and accurately. Lobby & Flow Management
- Monitor and actively manage the front lobby to promote an organized, safe, and welcoming environment.
- Regulate the flow of clients and visitors to reduce congestion and maintain security between lobby and adjacent spaces.
- Address client concerns promptly and escalate issues as necessary. Information & Resource Management
- Proactively communicate with program and leadership teams to ensure Welcome Center staff and volunteers are equipped with current information and updates.
- Ensure posted materials (flyers, brochures, notices, schedules) are up to date and accessible.
- Routinely remove outdated materials and replace them with current, approved resources. Volunteer Coordination
- Collaborate with the Volunteer Coordinator to maintain and distribute volunteer schedules.
- Communicate volunteer assignments, expectations, and logistical information clearly and in a timely manner.
- Assist with onboarding and training of Welcome Center volunteers as needed. Qualifications & Requirements
- High school diploma or GED required; associate or bachelor’s degree preferred.
- 2+ years of experience in customer service, administrative support, or community-based setting preferred.
- Strong organizational, communication, and interpersonal skills.
- Ability to multitask and stay calm in a fast-paced, high-traffic environment.
- Experience working with volunteers or coordinating teams is a plus.
- Familiarity with data entry systems (e.g., Clarity) and basic office equipment.
- Commitment to equity, dignity, and compassionate service for all individuals, especially those experiencing homelessness or poverty. . Bi-lingual English/Spanish strongly preferred Work Environment & Physical Requirements
- This position is primarily on-site at the Welcome Center front desk.
- Must be able to sit or stand for extended periods and lift up to 25 pounds.
- Occasional movement between program areas, supply rooms, and shared office spaces is required.
