Front Desk Administrative Assistant Showcase Properties of Central Florida Ocala, FL 34474 Job Overview We are seeking a friendly, organized, and detail-oriented Front Desk Administrative Assistant to join our real estate office. This position is often the first point of contact for visitors and callers, helping set the tone for excellent customer service and smooth day-to-day operations. In addition to front desk duties, this role provides essential support to agents and staff, serving as a resource for general office tasks, process guidance, and MLS maintenance. A strong candidate for this position will be an excellent communicator with a positive attitude and a passion for problem-solving. Previous experience in real estate or administrative support is preferred, but not required—what matters most is a willingness to learn, a proactive mindset, and the ability to stay organized in a fast-paced environment. Key Responsibilities Answer and route phone calls promptly and courteously Maintain front desk and common areas in a clean and organized manner Greet clients and visitors with a warm and professional demeanor Handle incoming/outgoing mail and deliveries Order office supplies and manage inventory Provide general support to agents in a professional capacity Work directly with other administrative staff to handle requests and queries from a large agent pool Assist with data entry, scanning, filing, and document prep Complete input, information updates, and status changes of incoming and active properties Work with agents directly on transaction coordination

Qualifications Required:

Strong interpersonal and communication skills Proficient with Microsoft Office Suite (Primarily Word and Excel) and the Google equivalents Excellent organizational skills and attention to detail Ability to multitask, prioritize projects, and manage time effectively Professional appearance and demeanor High School diploma or higher education

Preferred:

Prior experience in an administrative or receptionist role Familiarity with real estate industry or MLS platforms is a plus Bilingual (English/Spanish) is a bonus
