Administrative Services Manager Job Summary:
Responsible for all administrative and front desk related duties. Provides administrative support to the Administrative Services Manager and CSCMC staff as needed. This position works with CSCMC management level staff as well as CSCMC-funded providers, CSCMC tenants, vendors, and members of the community.

ESSENTIAL FUNCTIONS
Receptionist Duties
- Welcome, Check-in and check-out all visitors. Announce and direct all visitors to the appropriate CSCMC staff and/or Tenant.
- Answer, screen and forward telephone calls for the CSCMC staff and Tenants. Provide information for calls looking for other services.
- Receive, sort, stamp and distribute incoming mail on a daily basis; Record checks and invoices on finance log on a daily basis.
- Coordinate and maintain care of the lobby, meeting rooms and restroom areas to ensure all supplies are in place and available on a daily basis.
- Administer the CSCMC Electronic Meeting Room/Appointment Calendar.
- Schedule use of the conference rooms and assist in the preparation of meetings.
- Monitor and secure building facilities in relation to applying CSCMC emergency operations policy and procedures.
- Administrative support for Facilities Management, Council Business and Human Resources.
- Records Management Support to RMLO.
- Takes minutes/meeting notes for CSCMC or CSCMC convened meetings, as assigned.
- Submit request for IT support tickets for all staff members.
- Perform other administrative duties such as filing, copying, faxing and other projects.
REQUIREMENTS
Work experience as a Receptionist, Front Office Representative or similar role. Work experience as Administrative Assistant or similar role. Maintains a Professional attitude and appearance. Comfortable with most features and usage of core programs in the MS Office suite. Ability to be resourceful and proactive when issues arise. Organizational skills and multi-tasking abilities. Familiar with MAC/PC hardware and software programs and worksheets.
MISCELLANEOUS
Perform other duties as assigned.
QUALIFICATIONS
High School graduate with some administrative experience.
PHYSICAL ACTIVITY
This position requires mobility, walking, standing, sitting, reaching, repetitive motions, talking, finger dexterity, hearing and visual acuity. Occasionally receive and move boxes weighing up to 10 pounds.
WORKING CONDITIONS
In-door and out-door conditions. The worker is subject to inside office environmental conditions. While in the office, there is protection from weather conditions but not necessarily from temperature changes. Outdoor may occur while running errands and attending Community Outreach events.
