What you will do:
As an Administrative Assistant, Maintenance, you will play a critical role in supporting the Maintenance Manager and ensuring the smooth operation of our maintenance department. You’ll coordinate schedules, track work orders, manage documentation, and handle communications with vendors and internal teams. Your ability to juggle multiple priorities with discretion and professionalism will make you an essential part of the team. Every day will bring new challenges, opportunities to learn, and chances to make a real impact. In this role, you’ll manage calendars, schedule preventative maintenance, coordinate vendor visits, and maintain detailed records and reports. You’ll support inventory tracking, handle purchase orders, and assist with onboarding new team members. From organizing department meetings to preparing safety trainings, you’ll ensure nothing slips through the cracks. You’ll work closely with the Maintenance Manager and collaborate with cross-functional teams to keep operations running smoothly.
What you need:
Success in this role requires a high school diploma (an associate’s or bachelor’s degree is a plus), at least two years of administrative experience (preferably in manufacturing, facilities, or operations), and strong familiarity with equipment and maintenance processes. Proficiency in Microsoft Office Suite is essential, and experience with maintenance software (CMMS) is a bonus. You must be organized, communicative, adaptable, and able to maintain confidentiality while managing a fast-moving workload.
