Position Overview:
We are seeking a highly organized and detail-oriented Bilingual Administrative Assistant to provide critical support to our daily office operations. This role serves as a key administrative resource for the team and the first point of contact for clients, visitors, and internal staff. The ideal candidate will be fluent in both English and Spanish, with strong administrative skills, exceptional customer service abilities, and a proactive approach to handling office tasks. The Administrative Assistant will be responsible for a wide range of duties including managing correspondence, maintaining records and files, coordinating schedules, preparing documents, and supporting the processing of purchase orders and client transactions. A professional demeanor, strong organizational capabilities, and the ability to multitask in a fast-paced environment are essential to success in this role.
Key Responsibilities:
Administrative Support:
Schedule and confirm appointments and meetings. Prepare and distribute correspondence including emails, memos, letters, and forms. Maintain organized filing systems (both digital and physical). Order and manage office supplies and research vendors when needed. Assist with travel arrangements, meeting coordination, and other general office tasks. Help ensure the smooth daily operations of the office.
Customer Service:
Greet and assist visitors and clients in a professional and welcoming manner. Answer and direct phone calls and emails appropriately. Attend to walk-in clients interested in making purchases, and provide information about products and services. Receive and process purchase orders submitted in person or via other channels. Serve as the main point of contact for both internal staff and external clients.
Commercial & Sales Support:
Provide product and service information to prospective and existing clients. Support basic sales processes and maintain a service-oriented, goal-driven mindset. Keep client contact lists and records up to date. Collaborate with the sales and customer service teams to enhance client experience and identify new opportunities.
Requirements:
Previous experience in customer service, front desk, or administrative assistant roles.
Bilingual:
Fluency in English and Spanish (spoken and written). Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.). Strong communication and interpersonal skills. Sales-oriented with a proactive and customer-focused attitude. Excellent organizational and multitasking abilities. Familiarity with office equipment (printers, copiers, scanners). Professional appearance and demeanor.
Education:
High School Diploma or equivalent (required) Associate’s Degree (preferred)
