Job Description

Administrative Assistant Temple Judea 5500 Granada Boulevard, Miami, FL 33146 Administrative Assistant for the Education Team at Temple Judea “Through a strong Jewish Community, we better ourselves and the world.” The Education Team at Temple Judea is seeking a dedicated, organized, and detail-oriented Administrative Assistant to support the day-to-day operations of our educational programs, including the Margaux School, Religious School, Adult Education, and family programming. This full-time role is essential in ensuring smooth operations, clear communication, and the alignment of administrative systems across departments. The Administrative Assistant will work closely with the Director of Education and other key staff to support children, families, and faculty in a dynamic, inclusive environment.

7/1/2025 RESPONSIBILITIES • Personnel & Staff Support o Maintain up-to-date and confidential personnel records for Education department Staff & Faculty. o Manage the coordination of background checks and fingerprinting for all Temple Judea employees (Margaux, Club Judea, Religious School, Administration, Clergy) o Keep the departmental organizational chart current and accurate. o Send and collect staff employment letters and performance evaluations in a timely manner. • Student Records o Maintain accurate and current immunization records for students. o Update and manage allergy and photo permission lists. o Manage registration lists for adult education programs and maintain attendance tracking. o Send timely standalone communications such as illness alerts or urgent classroom updates. • Registration & Billing o Maintain registration forms in ShulCloud for tuition-based programs (Margaux School, Religious School, Adult Education, Temple programs). o Manage and update student rosters in Brightwheel and ShulCloud. o Handle the maintenance of event registration forms for departmental programs. o Maintain rosters for Temple members and program participants. o Manage billing processes for Margaux School’s before-care services. • Communications & Coordination o Prepare and send departmental communications including newsletters, Tidings, and board reports. o Coordinate with the Communications and Membership Directors to ensure calendar accuracy and messaging alignment. o Maintain up-to-date content in the Education section of the Temple website. o Participate in operational meetings to support planning related to staffing, space, purchasing, and scheduling. o Maintain and update project tracking systems (e.g., Asana) to support alignment with broader Temple operations.

MINIMUM QUALIFICATIONS

Minimum of one to two years of experience in administrative support roles , preferably in education or nonprofit settings. • Excellent written and oral communicationskills. Excellent organizational and time-management skills. Ability to handle multiple priorities accurately and efficiently. Discretion in managing sensitive or confidential information. Positive, team-oriented attitude. Experience working in environments with children and families. Proficiency in, or willingness to learn, CRM/program management tools (e.g., ShulCloud, Brightwheel, Asana).

PREFERRED QUALIFICATIONS

Three or more years of administrative experience in an educational, early childhood, or faith-based organization Prior experience with ShulCloud, Brightwheel, Asana, or other educational/family-focused CRM platforms Familiarity with Jewish holidays, culture, and educational programming (or a willingness to learn in a respectful, inclusive setting) Experience coordinating registration, billing, or compliance tasks in a school or program setting Demonstrated ability to create professional communications such as newsletters, reports, and announcements Proficiency in Microsoft Office Suite and Google Workspace Experience supporting programs or services for families and children
