Job Description

Administrative Assistant Piece-by-Piece Behavioral Therapy 13595 SW 134th Avenue, Miami, FL 33186 We are a dedicated ABA clinic providing high-quality behavioral therapy to neurodivergent children and their families. We’re looking for an organized, proactive Administrative Assistant to support our daily operations, staff coordination, and client communication. Key Responsibilities:

Office Operations Open and close the office daily, ensuring safety and functionality Maintain a clean, organized workspace Manage and order office supplies Implement weekly lessons and update clinic materials as needed Capture media content (with consent) for clinic social media platforms Create and maintain an efficient filing system HR & Staff Management Support staff through daily sessions Recruit, interview, onboard, and schedule training for new hires Conduct and track feedback, probation plans, and performance reviews Manage payroll biweekly and maintain accurate attendance records Coordinate and adjust RBT schedules Create and maintain an efficient filing system Client & Billing Support Verify insurance eligibility and benefits Prepare and send client invoices Communicate with parents and respond to questions or concerns Onboard new clients, guiding them through paperwork and orientation

Requirements:

Prior administrative experience (preferably in healthcare or ABA setting) Excellent organizational and multitasking skills Strong interpersonal and communication skills (comfortable speaking with parents and staff) Familiarity with scheduling software, quickbooks and payroll systems Ability to maintain confidentiality and professionalism Willingness to perform light cleaning and uphold a tidy office environment
