RESPONSIBILITIES:

Greet and welcome visitors, clients, and guests to the office in a warm and friendly manner. Answer and direct phone calls, taking messages and forwarding calls when necessary. Handle incoming and outgoing mail, packages, and deliveries. Maintain a clean and organized reception area, ensuring a positive first impression for all visitors. Manage and maintain office supplies inventory, restocking items as needed. Perform basic administrative tasks, such as data entry, filing, photocopying, and scanning documents. Schedule and coordinate appointments, meetings, and events for the office staff. Assist in organizing and setting up meeting rooms and necessary equipment for presentations. Act as a liaison between different departments and team members, facilitating effective communication. Handle sensitive and confidential information with discretion and professionalism. Provide excellent customer service to clients and guests, addressing their inquiries and concerns. Assist in coordinating travel arrangements and accommodations for company personnel when required. Help with the preparation of reports, presentations, and other materials as needed. Coordinate office maintenance and repairs, ensuring a safe and functional working environment. Manage and update office databases and contact lists. Take and distribute meeting minutes and follow up on action items as directed. Support the HR department with onboarding tasks, such as collecting new hire paperwork. Maintain office equipment and liaise with IT support for any technical issues.
