Job Description
Administrative Assistant Kendall Acres West Condominium Association, Inc. 8401 SW 107th Avenue, Miami, FL 33173 The duties of the administrative assistants are to support the Association Managers assigned to them, in all their management efforts. The duties may vary per the needs of the Associations they service, basic duties include: filing, handling telephone calls, voice messages, email communications, updating information on the management reports, processing sales and lease applications as well as assisting managers with association projects as needed. Administrative Assistants may also have to interact with vendors and other Association staff as necessary. It is their duty to conduct themselves in a manner that emulate the style, corporate philosophy, and corporate persona set forth by Courtesy Property Management when performing their duties. All staff members are responsible and expected to observe and implement established policies and procedures.
Board Meeting Preparation:
Contact Board Members to confirm quorum. Reserve Meeting Location, if necessary. Prepare Board Meeting Agenda Prepare Managers Report, including typing minutes (within 7 days from the day of the meeting), send copies to the Association Secretary for approval prior to the next meeting unless other arrangements have been made.
Notices:
Regular Meeting Notices- Must be posted 48 Hours prior to meeting. Annual Meeting Notices- Must be posted 14 days prior to meeting.
Data Input:
Update budget worksheets
Board Presentations Proposals Approved Budgets Update Forms Regularly Including:
Board of Directors Sheet Vendor List Insurance Policy Correspondence:
Must be spell checked and accurate. Respond to all homeowner and resident
Filing:
Monthly Folders Unit Files Manager’s Reports Insurance Policies (once reviewed by the Association Manager)
Special Events:
Coordinate committee meetings and activities Cost reimburse reports Files Prepare flyers, quotes and set-up schedules Retrieve records and correspondence as needed. Newsletter Preparation. Weekly meeting with Managers to be proactive of upcoming schedules and events. Create Administrative Files. Warranty Deed Information Collection. Order Supplies as need Report any maintenance request or repairs needed on equipment to the office manager.
