Downtown, Miami Salary:
$50k to $60k plus benefits Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
Responsibilities:
Greet and welcome guests as soon as they arrive at the office Answer, screen and forward incoming phone calls Reply to email, telephone or face to face inquiries Provide basic and accurate information in-person and via phone/email Provide general support to visitors Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures) Receive, sort and distribute daily mail/deliveries Organize and schedule meetings and appointments Maintain contact lists Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies Organize travel arrangements for senior managers Book conference calls, rooms, taxis, couriers, hotels etc. Reconcile and submit expense reports and ensure they meet T&E Policy Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques Carry out administrative duties such as filing, typing, copying, binding, scanning etc. Maintain computer and manual filing systems Handle sensitive information in a confidential manner Develop and update administrative systems to make them more efficient End of the year clean up on all files and storing in banker boxes
Personal Responsibilities:
Assist with all types of reservations and appointments Assist house staff with scheduling service calls for any house repairs Assist with purchase requests and returns
Requirements:
Proven admin or assistant experience Customer service attitude Knowledge of office management systems and procedures Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills High school diploma or equivalent; college degree preferred Minimum of 2 years’ experience working with executives and their team in a similar capacity preferred Financial Services background a plus Proficient computer skills, with strong focus On Microsoft Office Suite Excellent verbal/written communication skills, interpersonal customer service skills, and positive attitude; strong ability to work effectively/efficiently under pressure and adjust to changing situations; team player, willing to grow and take on new challenges; strong work ethic; flexible with regard to hours; outstanding organizational/decision making/problem-solving skills
