Job Description

Administrative Assistant ADRC Alliance for Aging Inc. Sweetwater, FL 33172 We have an Immediate full-time opportunity for an experienced professional, to report directly to the ADRC Director, providing administrative and staff support.

Salary:

$38,000.00 yearly, plus excellent benefits. EOE Primary Accountabilities ▪ Provides administrative and clerical support for ADRC department activities to include support to the ADRC Director and staff, supervisors, and clients seeking long-term care services. ▪ Supervises assigned general ADRC administrative support staff, such as front desk receptionists. ▪ Is familiar with various systems, tools, and documents within the ADRC used by the ADRC Director and staff. ▪ Reviews client referrals, as needed to determine any problems with addressing any client or elected official complaints. ▪ Is familiar with and utilizes various software, including the eCIRTS database, to prepare ongoing and specialized reports for the ADRC Director. ▪ Documents client information activity, appointments, cancellations, when necessary and utilizes appropriate software as appropriate. ▪ Provides support to ADRC department staff on an as needed basis. Coordinates with staff and ADRC supervisors to respond to inquiries, provide information and education regarding the application and eligibility processes, as needed, and follows up with staff to ensure required policy and procedures are adhered to. ▪ Assists with eCIRTS data entries and reports, as needed, to support correct client records, enrollments, and information. ▪ Assists with incoming and outgoing correspondence. Maintains departmental records, to include copies, filing, scanning, archiving, etc., when needed ▪ Assists with the Alliance for Aging’s response following a disaster or emergency, as needed. Specific tasks will be assigned by the supervisor, based on need and the incumbent’s availability. ▪ Performs other duties as assigned. Education, Skill Requirements and Essential Functions The ideal candidate will possess: ▪ Associate degree plus a minimum of three years work experience within an administrative capacity preferably in an interactive human service setting. ▪ Ability to answer phone lines in a professional manner. ▪ Ability to relate to older persons and be able to deal with the public effectively over the telephone. ▪ Receptive listening and friendly phone skills and the ability to handle confused, frustrated and/or hearing-impaired callers. ▪ Excellent problem solving, verbal, and interpersonal skills. ▪ Strong initiative and follow-through on responsibilities. ▪ Exceptional attention to detail and organizational skills. ▪ Ability to work independently as well as in a team environment. ▪ Demonstrated PC ability to include Microsoft Office products, especially Word and Excel. Additionally, should be Internet proficient. ▪ Ability to type a minimum of 35 words per minute on PC, and possess strong English grammatical and spelling skills. ▪ Must be able to communicate effectively in English and preferably, also in Spanish In the course of daily work, the incumbent alternates physical activities such as sitting, bending, stooping and walking. Significant PC work requiring long periods of repetitive hand and arm motion required. Good visual acuity needed to view PC monitor for extended timeframes. The work environment may have extended working hours, time constraints and business deadlines, contributing to physical and mental stress on a regular basis. Working Conditions The incumbent performs administrative work in a normal office environment with comfortable air temperatures and adequate lighting and ventilation. In the course of daily work, the incumbent alternates physical activities such as sitting and walking throughout the office environment.
