Job Duties:

Greet guests and provide them with superb customer service. Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper. Accept all letters and packages and distribute them to their appropriate departments. Monitor, organize and forward emails. Maintain records and files. Offer water, coffee, or soda to all guests. Book conference room for meetings. Answer all calls directed to that specific office. Clean conference rooms after meetings and always keep presentable. Ensure the breakroom is stocked and clean. Vacuum office space when needed. Break down all delivery boxes. Keep track of needed supplies and get list to employee relations to order. Pick up all mail from mailbox. Process all daily incoming mail by opening and scanning. Scan all incoming mail into the correct file. Distribute scanned mail to teams. Proficient use of scanning, copying and postage machines. Drop off daily outgoing mail in mailbox. Scan, verify and upload all client documents including CDs and images into client file. Assist with scanning settlement checks into client file. Process and scan all vendor issued settlement checks.

Requirements:

High school diploma or relevant qualification A minimum of 2 years of proven experience in a similar role Good understanding of office administration and basic bookkeeping practices Superb written and verbal communication skills Excellent organizational and multi-tasking abilities Strong knowledge of MS Office programs Will report to facility coordinator/manager in each market
