As we continue to grow, we are seeking an experienced and highly skilled Office Assistant . Job Summary As a Receptionist/Office Assistant , you’ll be a key player in keeping our fast-paced organization running efficiently. In this multifaceted role, you’ll manage front desk responsibilities, coordinate daily office operations, and provide vital support for HR and Executives. Your professionalism, organization, and proactive approach will help create a welcoming environment while ensuring smooth internal workflows. Key Responsibilities Greet visitors and answer/direct phone calls with a friendly, positive attitude. Manage calendars, appointments, and conference room bookings when requested. Maintain organized paper and digital filing systems. Assist with reports, presentations, and internal communications. Order and track office/kitchen supplies and uniform inventory keeping detailed logs. Coordinate travel, meetings, and company events when needed. Handle mail, packages, and special vendor orders. Provide basic tech support and maintain office equipment. Liaise between departments and external contacts. Keep directories, logs, and records up to date. Support HR with onboarding, background checks, and training materials as needed. Support setup, decoration, and breakdown of events; capture photos/videos. Qualifications High school diploma or equivalent required. Associates degree preferred. Strong organizational and multitasking skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Excellent communication and interpersonal skills. Fully bilingual in English and Spanish. Outgoing, bubbly personality with a positive and approachable demeanor. Previous administrative or front desk experience preferred. Experience in the aviation industry is not required but considered a plus.
