While our leasing team is responsible for meeting property leasing goals, they also pride themselves in assisting residents and maintaining high resident retention levels We are excited to announce this Leasing Administrative Assistant job opportunity with Graham Residential at Fountain House Apartments . Fountain House Apartments is our pet-friendly one and two bedroom apartments near Graham Park featuring open-concept floor plans with high-end finishes that create a welcoming atmosphere along with a resort-style swimming pool and tanning deck. Graham Residential has an immediate opportunity for a Leasing Administrative Assistant . This position provides exceptional customer service and supports the property management team by maintaining accurate resident records, assisting with lease renewal management, facilitating resident communication, maintaining maintenance schedules and inspections. This role enhances operational efficiency and contributes to the growth of the community and achievement of occupancy goals.

What you will do:

Regularly audit all resident files for accuracy and completeness, ensuring that all required documentation is present and up to date. Identify and correct discrepancies or missing information as needed. Track lease expiration dates, prepare, and send renewal offers and related documents to residents. Generate lease renewal agreements and ensure timely follow-ups in accordance with the company’s follow-up procedures. Ensure rent delinquency notices are attached to resident files. Send credit and balance due letters to residents, ensuring all relevant details are accurately included. Distribute water bill and renter’s insurances notices when applicable, ensuring accuracy and timely delivery. Memo, track, and follow up on all resident communications to ensure timely resolution. Ensure that all move-in documents are processed correctly, and that vehicle, pet, and pool pass information is accurately entered into the system once the move-in is recorded. Prepare move-outs packets ensuring that all necessary paperwork is completed accurately. Open work orders for pre-inspection and appliance cleaning as needed. Download and save move-out photos and inspections to appropriate files. Prepare and send notices to residents regarding Preventative Maintenance and other work scheduled for their apartment and community. Maintain and distribute the porter schedule. Enter and close work orders as necessary. Organize and assign monthly property inspection tasks among office staff. Inspect, update, and maintain the permit binder, ensuring a list of vendors is kept current. Manage and maintain office and cleaning supplies, ensuring the leasing office is well-stocked and organized. Assist with Leasing Specialist duties as needed. Actively participate in company training classes and meetings. Other duties may be assigned as needed.

What you will bring:

High School diploma or equivalent preferred Must have a minimum of 2 years’ experience providing face-to-face customer service, sales or administrative work. Valid Driver’s License required Professional appearance Basic ability to operate a computer using Microsoft Office products (Word and Outlook) and learn to use applicable division and organization specific software. Ability to communicate in English (bilingual with Spanish proficiency a plus) Knowledge of Yardi Property Management Software a plus Must be able to interact and communicate with individuals at all levels of the company. Clear and professional written, oral, and interpersonal communication skills. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks, demands, establishing priorities and meeting deadlines. Work requires continual attention to detail in composing, typing and proofing materials. Must possess the ability to conduct research and work with minimal supervision. Excellent organizational and time management skills with the ability to multi-task and follow through. Bi-lingual (English/Spanish) a plus.

Monday, Wednesday and Friday 9am

  • 6pm Tuesday and Thursday 9am
  • 6pm or 10am to 7pm Saturday 9am
