Summary:

Join our vibrant educational community at Hebrew Academy, a prestigious Modern Orthodox Jewish day school in Miami Beach. As the Middle and High School Administrative Assistant, you will provide essential administrative support to enhance the operational efficiency of our educational programs and the school office. This role involves close collaboration with the administrative team, faculty, students, and parents to ensure seamless daily operations and superb communication across all school levels.

Responsibilities:
Administrative Support:

Assist the school’s administrative team with various administrative tasks, including filing, data entry, photocopying, purchasing, and scheduling appointments. Manage incoming and outgoing correspondence, including emails, phone calls, and mail. Maintain and update student records, including attendance, grades, and schedules, using the school’s database system.

Front Desk Operations:

Serve as the primary point of contact for visitors, parents, and students entering the school office. Answer phone calls and respond to inquiries in a professional and courteous manner. Direct visitors to the appropriate staff members or departments. Maintain a clean and organized front desk area.

Student Support:

Monitor student attendance and coordinate with teachers and parents regarding absences and tardiness. Assist students with inquiries related to schedules, transcripts, and other administrative matters. Provide support for student scheduling processes. Staff Support Manage teacher absences and coordinate substitute coverage Maintain staff attendance records for reporting purposes. Provide additional support for staff as needed. Purchasing Purchase supplies and other items as approved by the administration. Process purchase orders, including receiving of invoices and reimbursement requests. Maintain a running budget of school expenditures.

Communication and Coordination:

Coordinate meetings, appointments, and events for the school’s administrative team. Communicate important information to students, parents, and staff members via email, phone, or written correspondence at the direction of the administration. Collaborate with teachers, counselors, and other school personnel to ensure effective communication and coordination of activities.

Other Duties:

Assist with special projects and events, such as orientations, open houses, and graduation ceremonies. Maintain inventory of office supplies and place orders as needed. Perform other administrative tasks and duties as assigned by the school administration.

Experience:
  • Proven experience as an Administrative Assistant or similar role
  • Familiarity with front desk operations and procedures
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent phone etiquette and customer service skills
  • Experience in calendar management and scheduling appointments
  • Knowledge of medical or dental office procedures is a plus
  • Previous experience as a personal assistant or clerk is advantageous

PM Qualifications:

High school diploma or equivalent required; associate’s or bachelor’s degree preferred. Fluent in both written and spoken English Previous experience in an administrative role, preferably in an educational setting. Proficiency in the Google Suite (Docs, Gmail, Sheets, Calendar), and familiarity with student information systems, preferably Veracross. Excellent communication and interpersonal skills. Strong organizational skills and attention to detail. Ability to multitask and prioritize tasks in a fast-paced environment. Discretion and ability to handle confidential information with sensitivity.
