Job Overview:

UnclogMe LLC is seeking a bilingual (English/Spanish) and experienced Office Administrator to keep our operations organized, compliant, and running efficiently. Who We Are:

UnclogMe LLC is Miami’s go-to service provider for grease trap pumping and drain unclogging. We’re growing rapidly and investing in both our field crews and our behind-the-scenes support team. Our office staff plays a critical role in managing service workflows, ensuring compliance, and helping us deliver top-tier service to commercial and residential clients.

Key Responsibilities:
General Office Administration:

Manage day-to-day office operations and customer communications Respond to customer calls/emails about scheduling, billing, and new service inquiries Relay client concerns and project updates to the

Technical Director Invoicing & Collections:

Generate job-specific invoices upon completion Manage monthly billing for recurring clients Monitor unpaid invoices and proactively manage collections Serve as main contact for all invoicing-related questions

Scheduling & Routing:

Schedule jobs and optimize daily technician routes Communicate schedule changes or updates to clients Ensure calendar coordination across teams

Procurement:

Order office supplies, tools, and equipment as needed Coordinate with vendors and manage supply relationships

Customer Management Software:

Maintain accurate customer and service records in Jobber and Airtable Perform regular audits for data accuracy

Documentation & Compliance:

Collect and file dump sheets and service documentation from technicians Coordinate with regulatory agencies (e.g., DERM) for compliance Maintain DOT compliance records and be inspection-ready

Employee & Technician Coordination:

Track technician hours and assist with payroll preparation Manage new hire paperwork and HR documentation

Meetings & Communication:

Schedule and participate in regular team meetings Act as a communication bridge between field and office teams

Procedure Documentation:

Standardize admin tasks and create manuals for key office procedures

What You Bring:

3+ years of administrative experience (preferably in a service industry) Strong communication skills in both English and Spanish Knowledge of invoicing, customer service, and scheduling systems Experience with Jobber and Airtable is a plus Detail-oriented, organized, and self-motivated High school diploma or GED required Ability to manage priorities in a dynamic work environment Willingness to occasionally handle after-hours communications
