Job Summary:
The Office Clerk at Nursing South Corp. plays a pivotal role in supporting the operational efficiency of our Home Healthcare organization. This position requires a well-organized and good-spirited team player who can start immediately. The Office Clerk will be responsible for performing supporting tasks to ensure smooth day-to-day operations within the division.
Duties and Responsibilities:
1. Provide support to the Administrator and executives, including managing calendars, files, meetings, and coordinating processes to optimize efficiency. 2. Prepare and distribute internal and external correspondence, memos, reports, and presentations to facilitate effective communication and information sharing. 3. Maintain accurate and up-to-date records, files, and documentation, both electronically and physically, ensuring confidentiality and compliance with regulatory requirements. 4. Coordinate and organize office meetings, and events, including venue logistics, to ensure seamless execution. 5. Conduct research and gather information to support special projects, reports, and presentations, contributing to informed decision-making. 6. Serve as a primary point of contact for internal and external stakeholders, managing inquiries, redirecting calls, and providing prompt and helpful assistance. 7. Collaborate with cross-functional teams, fostering effective communication and teamwork to enhance operational efficiency. 8. Coordinate and track the progress of divisional projects, ensuring tasks are completed on time and following up on action items. 9. Monitor and replenish office supplies and inventory, ensuring availability and operational readiness. 10. Foster a positive and professional work environment, promoting teamwork and cooperation among staff members. 11. Perform various administrative tasks to support the operational needs of the division.
Qualifications:
Proficient in English and Spanish. Proficient in using office software (e.g Microsoft Office Suite) and other relevant tools. High school diploma or equivalent (Associate’s or Bachelor’s degree preferred). Proven experience as an administrative assistant, secretary, or similar role. Excellent organizational and time management skills, with the ability to prioritize tasks effectively. Strong attention to detail and accuracy in completing administrative tasks. Excellent verbal and written communication skills. Ability to handle confidential information with discretion and maintain strict confidentiality. Strong interpersonal skills and the ability to work well in a team-oriented environment. Flexibility to adapt to changing priorities and readiness. Previous experience in the healthcare industry or home healthcare setting is a plus.
