ASAP About the Role We are seeking a dynamic, bilingual (English/Spanish) Office Coordinator to support day-to-day office operations and ensure the smooth functioning of a fast-paced corporate environment. In this multifaceted role, you will manage front desk duties, facility maintenance, vendor relationships, and security access while delivering high-level administrative support to the Corporate Executive Team. You will play a pivotal role in maintaining an efficient, professional, and welcoming environment for all employees and visitors. Responsibilities Front Office Management Serve as the first point of contact for internal and external office communications. Greet visitors, manage front desk inquiries, and coordinate meeting logistics. Maintain a professional and hospitable reception area. Manage incoming calls, mail distribution, and front desk scheduling. Facilities Management Oversee office maintenance and cleanliness to ensure a safe, functional workspace. Administer security access systems and building entry processes. Coordinate with vendors (e.g., cleaning, coffee, vending) to maintain high service standards. Monitor and evaluate service contracts for performance and value. Supplies & Procurement Track and maintain office supply inventory. Source and order supplies to meet operational needs efficiently. Manage supplier relationships and negotiate favorable terms. Executive Administrative Support Support the Corporate Executive Team with calendar management, meeting prep, and travel arrangements. Assist with documentation, expense reporting, and event planning. Maintain confidentiality and professionalism when handling sensitive information. Process Improvement Identify opportunities to improve workflows and streamline office operations. Develop and implement best practices for ongoing administrative efficiency. Qualifications High school diploma or equivalent required; Associate’s degree or higher preferred. Proven experience in administrative or front office roles. Bilingual proficiency in English and Spanish (written and spoken) is essential. Skills & Competencies Strong communication and interpersonal skills across diverse teams and audiences. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Excellent organizational and time management skills. High integrity and discretion with confidential information.
