Position Summary:
The Office Services Coordinator is responsible for ensuring the daily operation of the mailroom, loading dock, and office services for loanDepot park.
Essential Functions:
Responsible for receiving, tracking, sorting, and delivering all incoming mail/packages received by the organization, in a timely manner. In addition, individual is responsible for sending Major League Baseball monthly reports for all Clubhouse packages;
Individual is responsible for all outgoing mail/packages for the Marlins and all business partners. Manage relationships with FedEx, UPS, and USPS to ensure daily ballpark pick-ups; Responsible for securing and maintaining all office and mailroom equipment, copiers, fax machines and printers; Keep mailroom organized by properly arranging the bundles of mail and packages coming in to prevent littering and jam-packing in the office space;
Ensure all copy rooms are stocked with paper and toner at all times; Ensure all breakrooms are stocked with coffee, condiments, paper products, utensils at all times; Manage, maintain, and order inventory on all office and breakroom supplies, including but not limited to; paper, toner, pens, notepads, coffee, condiments;
Control and manage stationary inventory; Manage and track all Loading Dock deliveries and ensure loading dock is clean and organized at all times;
Keep Loading Dock clean, organized, and hazard free;
Prompt notification to departments and vendors upon arrival of deliveries;
Ensure all shift related issues, observations and critical information is documented, verified, and accurately reported to the appropriate decision maker in a timely fashion;
Ensure vehicle drivers entering Loading Dock, meet all
MLB BSOP
procedures, by entering Command Center Lobby prior to entering the Loading Dock and producing government issued photo identification while being screened. Assure that Loading Dock doors are always closed or monitored whenever visiting team buses are parked inside the loading dock;
Manage vehicle traffic arriving and departing from the Loading Dock;
Assist the Corporate Services team with special projects when needed.
Qualifications & Requirements:
Security awareness when checking packages; Excellent organizational skills;
Proactive, organized and detail oriented person who can prioritize their workload and follow through with minimal supervision; Excellent customer service;
Able to perform heavy lifting at times;
Excellent interpersonal skills;
Must show good judgment and common sense;
Excellent interpersonal skills and the ability to function well during a critical or emergency incident;
Fluently bilingual English / Spanish a plus;
Forklift certification a plus; Possess a current Florida Driver’s License; Proficient in the use of computers and related software – Word, Excel & Power Point.
Suggested Education & Experience Guidelines:
High school diploma required;
Basic computer skills and the ability to learn in-house systems required;
Minimum of two years of office services experience, preferred.
