We’re seeking a highly organized and dependable full-time Order Processing & Personal Assistant to join our growing team in Miami Gardens, FL. This role will support daily operations by managing incoming orders, assisting with customer communication, and handling a variety of administrative and personal assistant tasks. The ideal candidate will have a strong background in shipping LTL and small parcel shipments, be proficient in processing orders on Quickbooks, and be able to trace orders and email invoices for payment to customers.
Responsibilities:
Order Processing:
Enter and manage customer orders using internal systems and software (Shopify, Excel, QuickBooks, etc.) Coordinate with warehouse and logistics partners to ensure timely fulfillment and delivery Quote and coordinate shipments with various carriers Track and trace shipments to ensure timely delivery Generate and email invoices for payment to customers Monitor order status and provide updates to customers or internal teams Handle basic customer inquiries related to orders, products, or shipping
Personal Assistant Duties:
Schedule meetings, calls, and appointments Assist with organizing office and digital files Provide general administrative support to the company owner Qualifications Proven experience in executive administrative support and personal assistance Strong organizational skills with a focus on calendar management Proficient in QuickBooks and Microsoft Office Suite Excellent phone etiquette and customer service skills Ability to manage multiple tasks efficiently, including event planning and project coordination Familiarity with data entry, clerical tasks, and office management practices
