The ideal candidate is not only highly organized and proactive, but also receptive to feedback, solutions-focused, and exhibits a warm, professional demeanor. This role requires a balance of virtual efficiency and occasional in-person presence to ensure seamless day-to-day operations. We’re looking for someone who: Thinks creatively and proactively solves problems with minimal supervision. Has a talent for capturing clear, actionable notes and following through on tasks. Welcomes constructive feedback as part of professional development. Is discreet, reliable, and handles sensitive information with the utmost confidentiality.

Key Responsibilities:

Assist with both personal and office management tasks, remotely and occasionally in-person around the Miami area. Manage client bookings, scheduling, and calendar coordination. Perform billing tasks, invoicing, and follow-up. Make and receive professional phone calls on behalf of the office. Support with employee oversight and basic HR coordination. Handle general administrative duties (e.g., document preparation, email correspondence, ordering supplies). Maintain a team-oriented, professional demeanor and help cultivate a positive work environment.

Qualifications:

College Bachelor’s degree Proven experience as a personal assistant, executive assistant, or office manager. Strong organizational skills with exceptional attention to detail. Effective communication abilities, both written and verbal. Capable of independent problem-solving and prioritizing tasks in a fast-paced environment. Must be tech-savvy, adaptable to new systems, and have experience with online calendars, billing software, and task management tools. Must be based in or near Miami, with availability for in-person responsibilities as needed. Warm, professional presence and good bedside manner when interacting with clients and staff.
