We are actively seeking a personal assistant to support our household and help ensure our family is operating as efficiently as possible. We have a busy lifestyle with 4 children and seeking the right person to support our daily lives. The ideal candidate will be a dedicated, self-driven individual that has a positive disposition and proactive approach. The role will require confidentiality and an individual that handles this position as a priority. Key Responsibilities Owner representative for all current and future construction/design projects, including oversight of all contractors and subcontractors to ensure deadlines are being met and work is being completed to the expected quality, reviewing all invoices and proposals, and communicating status updates and summaries to homeowners. Be a primary point of contact for all contacts desired by the Principals to limit their disruptions. Review of all insurance policies with the Principals’ insurance broker to ensure at the proper levels and promptly communicating any necessary changes to the broker as they occur. Develop home manuals for all applicable properties. Stock and monitor emergency supplies and tools available to the Principals as needed. Schedule, monitor, and track/record all ongoing maintenance for the applicable properties. Conduct regular property inspections for the applicable properties, including the testing of all necessary electronics and systems in the house. Manage house staff including scheduling, task assignments, and ensuring high-quality of work quality is being maintained and the staff house team is continually working towards ways to improve and be more efficient. Handle personal bookkeeping, reconciliation, bill payments, and maintaining records. Work with the Principals’ Accountant to ensure all tax documents are organized and available for the Accountant as requested. Run errands as necessary. Assist in driving children to and from school, activities, and similar. Track, order, and organize household inventory. Manage Principals’ calendar and ensure the Principals are aware of all daily and upcoming events. Assist in the planning and execution of events hosted by the Principals. Book and monitor all travel (domestic and international). Schedule, monitor, and track/record all ongoing maintenance for all vehicles, boats, and similar. Sort incoming mail, including the acceptance of package deliveries. Handle all incoming calls and guest greetings. Travel as necessary to other properties. Qualifications Bachelor’s degree with previous Personal Assistant and/or House Manager experience preferred. Strong analytical and troubleshooting/problem solving skills. Proficient in technology. Highly organized and detail oriented. Flexibility with the ability to adapt quickly to changing priorities. Strict adherence to confidentiality. Positive, outgoing personality with the ability to be assertive as needed. Strong written and verbal communication in English. Valid driver’s license.
