GENERAL
STATEMENT OF JOB
Provides administrative, technical and operational support to assigned Department/Division.
EXAMPLES OF WORK
- Responds to telephone, email, written and in-person inquiries; provides answers and information requiring knowledge of departmental policies and procedures.
- May monitor a multi-line telephone system, may answer and direct incoming calls and greet visitors, depending on assignment.
- Prepares various documents and materials, including correspondence, memoranda, reports, spreadsheets, agendas, minutes, requisitions, invoices, forms, etc. utilizing established guidelines and procedures.
- May perform research, engage in records custodian functions, prepare news releases, publications, flyers, brochures and other promotional materials, depending on assignment.
- May purchase property, equipment, supplies and other materials and maintain inventories, depending on assignment.
- Enters data into various software and database programs; ensures that data is kept up-to-date.
- Performs accounting duties, including, but not limited to billing, collection, invoice payment requests, reconciliation of purchasing card statements and travel-related forms; may monitor budget accounts.
- Maintains Department/Division calendar, coordinates and schedules meeting rooms; may set up rooms or make travel arrangements, depending on assignment.
- Files paper and electronic records; maintains files and filing systems according to department/division guidelines.
- May perform timekeeping functions for assigned Department/Division.
- Processes incoming and outgoing mail, courier envelopes and facsimile transmissions.
- Performs Notary services.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Education, Training and Experience:
High school diploma or GED supplemented by a minimum of two (2) years of progressively responsible experience in administrative support, to include keyboard skills and broad knowledge of modern office equipment; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Requires a minimum typing speed of 35 words per minute. Experience with Microsoft Word and Excel required. Experience with grant coordination, bookkeeping and/or budgets preferred. Requires a valid driver license. May require a certification as a Florida Notary Public within twelve (12) months of employment, dependent upon departmental assignment.
OTHER REQUIREMENTS
Physical Requirements:
Must be physically able to operate a variety of machines and equipment including computer, copier, telephone, facsimile machine, and other office equipment. Must be able to exert 20 to 50 pounds of force occasionally, or 10 to 25 pounds of force frequently, or a negligible amount constantly to lift, carry, push and pull or otherwise move objects. Physical demands are essentially those of sedentary work.

Requires the ability to communicate effectively in English, including the ability to convey, record and exchange information; requires the ability to explain procedures, and to give, receive and follow oral and written instructions. Requires the ability to read basic technical data, policy and procedure manuals, codes, etc. Requires the ability to prepare forms and reports using prescribed formats, and adhering to all rules of spelling, grammar, punctuation, diction and style. Requires the ability to communicate with a broad array of individuals from various professional backgrounds.
