Administrative Assistant Role This role is responsible for supporting the scheduling, communication, and filing of the business operation. Success in this role is defined by timeliness of response and friendly customer service. Responsibilities Provides administrative support to ensure efficient operation of office Answers and directs phone calls, schedules meetings and supports visitors Carries out administrative duties such as filing, typing, copying, binding, scanning etc. Exhibits polite and professional communication via phone, e-mail, and mail Supports team by performing tasks related to organization and strong communication Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Update and maintain office policies and procedures Maintain contact lists Prepare and monitor invoices Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies Cover the reception desk Handle sensitive information in a confidential manner Develop and update administrative systems to make them more efficient Coordinate repairs to office equipment Conduct data entry Requirements Reporting Skills Administrative Writing Skills including Editing and Proofreading Professionalism High school diploma or equivalent education required Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Telephone Skills Notary Preferred, willing to obtain if not currently a notary
Work Environment and Physical Demands:
This role works in an office environment with some time spent in a warehouse environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. While performing the duties of this role, the employee is regularly required to talk or hear. The employee is frequently required to stand, walk, use hands to finger, handle, or feel and reach with hands and arms. The employee may be required to lift up to 20 pounds independently and up to 50 pounds with assistance. While in a warehouse setting, the employee may be exposed to the outdoor weather temperature and loud noise. This role may require some weekend or late-night work as the employee is the sole manager responsible for the location’s operation and emergency response.
