Job Description
Description We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Orlando, Florida. In this role, you will play a crucial part in coordinating and managing installation projects, ensuring smooth scheduling and communication with customers. This position requires excellent organizational skills and the ability to handle multiple tasks in a fast-paced environment.
Responsibilities:
- Coordinate and schedule installation appointments to optimize efficiency and timeliness.
- Review pending projects, verify product availability, and update labor workbooks.
- Monitor the progress of installations, ensuring jobs are closed and updated daily.
- Manage and prepare necessary paperwork for installation teams to ensure readiness.
- Assign appropriate installation crews based on their skill sets and project requirements.
- Track inventory orders and provide accurate delivery timelines to stakeholders.
- Address customer concerns promptly to maintain satisfaction and resolve issues.
- Process payments and submit funding for completed projects in compliance with company standards.
- Prepare permits and approval packets as required for installations.
- Enter contract details and manage documentation to transition customers from sales to installation. Requirements
- High school diploma or equivalent.
- At least 1 year of experience in administrative support or scheduling installations.
- Knowledge in HVAC field is a plus.
- Familiarity with accounts receivable processes is preferred.
- Strong customer service skills and a customer-focused approach.
- Proven ability to thrive in deadline-driven, high-pressure environments.
- Experience in home improvement or home services is a plus.
- Proficiency in Microsoft Office Suite, including Outlook.
- Effective communication skills for handling inbound and outbound calls, email correspondence, and CRM management.
