Job Description The Administrative Assistant’s role is to assist the Motorpool Department in keeping daily clerical work and record-keeping updated. To perform this job successfully, an individual must be able to execute each essential duty and responsibility satisfactorily. Additionally, the individual must possess and adhere to the following core company values: Integrity Passion Work ethic Essential Duties and Responsibilities Pay parking and toll violations to ensure no stop holds on registration renewals and to prevent collection agency fees Enter parts costs and labor into the monthly allocation sheet by the end of the month and submit to Accounting after review by the Motorpool Manager Prepare FedEx overnight and ground shipments of parts as requested, including tracking and processing returns Process invoices in Oracle (AP) in a timely manner, including vendor invoices and credit card receipts Maintain all vehicle files, including uploading registrations, insurance cards, and other documents into the inventory system Assist the Motorpool Manager and Director with payroll processing Provide support with other tasks as needed Qualifications One to two years of related experience and/or training, or an equivalent combination of education and experience Education & Certifications High school diploma or equivalent required Associate degree a plus Skills & Knowledge Proficiency in Microsoft Office Strong administrative and organizational abilities General computer skills Physical Demands While performing the duties related to this position, the team member will regularly visit construction sites The team member must occasionally lift and/or move up to 10 pounds Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos Ability to write simple correspondence Ability to effectively present information in one-on-one and small group situations to customers, clients, and other team members Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals Work Environment The majority of the work will be conducted from an office or field office Additional Information Why Westgate?
