Practice Manager or Executive Leadership Position Summary:
Greater Orlando Hospitalist is seeking a detail-oriented and proactive Administrative Assistant to support our clinical and administrative teams. This individual will play a key role in ensuring efficient day-to-day operations, coordinating communication, maintaining records, and providing general administrative support to help our team deliver exceptional patient care.
Key Responsibilities:
Serve as the first point of contact for internal and external communications, including phone calls, emails, and correspondence. Schedule and coordinate meetings, appointments, and travel arrangements for physicians and leadership staff. Maintain accurate and confidential records, files, and databases, including physician schedules and patient documentation. Prepare and edit documents, reports, presentations, and other materials as needed. Support credentialing, onboarding, and compliance documentation for hospitalist staff. Assist with billing, invoicing, and coordination with insurance or third-party providers when required. Manage office supplies and inventory; liaise with vendors and facility maintenance as necessary. Ensure compliance with HIPAA and other healthcare regulations in all administrative processes. Perform other administrative tasks and special projects as assigned by management.
Qualifications:
High school diploma or equivalent required; associate’s or bachelor’s degree preferred. 2+ years of administrative or clerical experience, preferably in a healthcare setting. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Knowledge of medical terminology and experience with electronic health records (EHR) is a plus. Ability to maintain professionalism and confidentiality at all times.
Work Environment:
Office-based setting with standard business hours (Monday-Friday). Occasional flexibility may be required for special meetings or urgent administrative support needs.
