Job Description

Description We are looking for a detail-oriented Administrative Assistant to join our team in Orlando, Florida. This Contract position involves supporting day-to-day operations, managing schedules, and providing essential administrative assistance to ensure efficiency. The ideal candidate will excel in multitasking and demonstrate professionalism in interactions with staff, stakeholders, and high-profile individuals.

Responsibilities:
  • Coordinate and manage calendars, resolving scheduling conflicts and ensuring accurate appointment tracking.
  • Enter detailed information into Outlook, including travel itineraries and related files.
  • Communicate with staff, stakeholders, and high-profile individuals to confirm appointments and provide scheduling updates.
  • Arrange travel logistics, such as flights, accommodations, and transportation, using Concur software.
  • Provide administrative support by monitoring legislative activities, preparing briefing materials, and organizing meetings and delegation tours.
  • Draft and edit correspondence, ensuring clarity and professionalism.
  • Establish and maintain effective tickler systems to track tasks and deadlines.
  • Maintain inventory levels and order office supplies as needed.
  • Assist with special projects, events, and serve as back-up for other administrative functions.
  • Perform additional duties as assigned to support operations. Requirements
  • Proficiency in Concur is a must-have
  • Experience in scheduling appointments and managing calendars.
  • Strong customer service skills, including handling inbound and outbound calls.
  • Ability to coordinate travel arrangements and use Concur software effectively.
  • Excellent written and verbal communication skills for email correspondence and clerical tasks.
  • High attention to detail and ability to perform accurate data entry.
  • Prior experience in arranging travel and managing administrative duties.
  • Ability to multitask and adapt to changing priorities in a fast-paced environment.
