The Administrative Assistant supports the office staff with all administrative and clerical tasks. This role involves managing schedules, coordinating meetings, handling correspondence to support the office staff.

Primary Responsibilities:

Perform general office duties such as answering the phone, managing emails, and greeting visitors. Manage calendars and coordinate meetings/conference calls while demonstrating problem-solving abilities to adjust or prioritize schedules based on last-minute changes. Proactively develop relationships with key internal employees, gaining recognition as a team resource. Use appropriate judgment and knowledge when sharing sensitive information. Perform clerical duties including but not limited to photocopying, faxing, mailing, scanning, and filing. Interface with all levels of the organization and with external customers in a professional and effective manner. Event planning for an office of 20+ employees (Christmas parties, lunches, etc.) Purchase supplies for the office including breakroom supplies. Light cleaning in conference rooms and breakroom. Support projects by gathering information, preparing documents, and tracking process. Pick up and deliver plans to local agencies. Perform other duties as assigned.

Required Skills/Abilities:

Proficiency in MS Office (Word, Excel, PowerPoint). Excellent professional verbal and written communication skills. Attention to detail, proactive follow-up, excellent organizational skills, and discretion with confidential information. Strong interpersonal, time-management, and problem-solving skills. Strong sense of urgency, with outstanding prioritization skills and professionalism. Focuses on objectives and deliverables, execution of tasks, and fast implementation. Review documents for clerical errors and modify documents.

Education & Experience Requirements:

High school diploma or equivalent. Associate degree or relevant certification. Minimum of two years of related experience
