Position Summary:

The Personal Assistant will work closely with the owner and primary attorney of the firm to provide comprehensive support in various administrative and strategic capacities. This role requires a high level of organization, integrity, discretion, and flexibility to effectively manage the owner’s schedule, tasks, priorities, and family needs.

Key Responsibilities:
Calendar Management:

Maintain and organize the owner’s schedule, including appointments, meetings, and deadlines. Proactively manage conflicting priorities and schedule adjustments as needed. Coordinate travel arrangements and accommodations for business trips.

Administrative Support:

Handle correspondence, emails, and phone calls on behalf of the owner. Prepare documents, presentations, and reports as requested. Assist in the preparation and review of legal documents and briefs.

Strategic Assistance:

Conduct research and gather information for strategic projects and initiatives. Assist in analyzing data and preparing insights for decision-making. Participate in strategic planning meetings and discussions.

Scheduling and Coordination:

Arrange, confirm and coordinate all aspects of the owners meetings and follow-up from these meetings. Coordinate with internal teams and external contacts to ensure smooth communication and collaboration as well as follow up of next steps and holding parties accountable for what is promised. Anticipate scheduling conflicts and proactively find solutions/ be a key part of event planning for Louis personally and the firm.

Daily Needs and Driving:

Run errands as needed, such as banking, deliveries, personal tasks picking up items or people, ordering and coordinating catering and food/ beverage needs. Provide transportation for the owner to and from appointments, meetings, and other locations.

Meeting Attendance:

Attend meetings with the owner to provide support, take notes, and assist in follow-up actions. Act as a liaison between the owner and meeting participants, conveying messages and action items as necessary.

Overtime and Availability:

Be available to work beyond regular hours as needed to meet deadlines and accommodate the owner’s schedule. Maintain flexibility in scheduling to accommodate urgent requests and last-minute changes.

Qualifications:

Bilingual – must speak Spanish and English fluently Previous experience in a similar role, preferably within a legal or professional services environment. Strong organizational skills and attention to detail. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office suite and other relevant software applications. Ability to handle confidential information with discretion and professionalism. Valid driver’s license and clean driving record.
