They are key in keeping donor information accurate, supporting events and campaigns, and ensuring the Development team’s activities run smoothly and efficiently. Strong organizational skills, attention to detail, and proactive support are critical to achieving fundraising and engagement goals. This position helps advance Lift Orlando’s mission by strengthening the operational backbone of its fundraising efforts.
ESSENTIAL JOB REQUIREMENTS
Provide comprehensive administrative support to the Development team, including database management, document preparation, mailings, scheduling, expense tracking, and related functions. Provide direct administrative support to the Director of Development, including managing calendars, scheduling meetings, preparing materials, setting reminders, coordinating logistics, and anticipating administrative needs. Ensure the accuracy and integrity of donor records through timely data entry, audits, updates, and ongoing maintenance of the CRM system, including maintaining segmented donor lists to support targeted fundraising efforts. Generate reports, dashboards, development materials, and other documentation to support fundraising activities, donor engagement, and departmental operations. Draft, personalize, and send donor acknowledgments, thank-you letters, and year-end giving summaries. Coordinate planning, logistics, RSVPs, event materials, timelines, and day-of support for fundraising events and periodic cultivation activities. Support the planning, logistics, execution, and follow-up activities for annual giving campaigns, donor stewardship initiatives, and related fundraising efforts. Manage logistics for site tours for donors, partners, and community stakeholders, including scheduling, communications, and onsite support. Manage Lift Orlando’s volunteer program, including recruitment, onboarding, scheduling, task assignments, recognition, data collection, and ongoing communication. Conduct research on prospective donors and grant opportunities; assist in preparing proposals and reports; and track application deadlines, reporting schedules, and compliance documentation. Gather impact stories, testimonials, and program data by collaborating with Communications and Program teams to support fundraising communications and donor reporting. Coordinate, document, and provide follow-up support for internal and external Development department meetings and activities, ensuring consistent administrative management across donor engagement, program collaboration, and departmental operations.
QUALIFICATIONS
Education:
• Bachelor’s degree OR equivalent combination of relevant training and experience.
Experience:
Minimum of 2 years of experience in office administration, data entry, project coordination, or event coordination. Experience working with donor databases or CRM systems (Salesforce, Bloomerang, DonorPerfect, etc.) preferred. Experience managing volunteer programs is highly desirable.
License/Certification:
None required. Skills and Abilities Strong written and verbal communication skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite. Exceptional attention to detail in administrative support, database management, and event logistics. Strong organizational, analytical, and time-management skills. Ability to manage multiple tasks, projects, and priorities with urgency. Demonstrated ability to collaborate with colleagues, donors, partners, and volunteers at all levels. Resourceful, solutions-oriented, and proactive in problem-solving. Comfort working independently with minimal supervision while maintaining high standards. Ability to anticipate needs and provide administrative support proactively and efficiently.
Demonstrated Knowledge:
Proficiency in administrative support functions, including scheduling, expense tracking, data entry, document preparation, and logistical coordination. Strong understanding of donor database management best practices, including data maintenance, list segmentation, and reporting. Knowledge of planning and executing event logistics, meeting coordination, and volunteer scheduling within an organizational setting. Familiarity with administrative compliance processes related to donor stewardship, grant tracking, and internal documentation management.
Physical Demands:
Ability to lift 20 pounds for event setups. Extended periods sitting at a desk and working on a computer. Occasional evening and weekend event work required.
