The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, coordinating schedules, and providing exceptional support to staff and patients. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Responsibilities Oversee daily office operations and ensure a welcoming environment for visitors and staff. Maintain accurate records and files, including medical office management documentation when applicable. Provide administrative support including clerical duties such as data entry, filing, and correspondence management. Receive, open, and sort incoming mail daily. Scan mail and organize digital records appropriately. Process returns, including generating return labels and coordinating their delivery to patients via email or postal mail. Assist in handling patient phone calls professionally and efficiently, directing calls as needed. Create and manage return shipping labels and ensure timely communication with patients. Use Microsoft Excel and Google Sheets to track mail, returns, and other administrative data. Maintain organized digital and physical filing systems. Provide general administrative support to the office as required. Experience Strong organizational and time management skills. Proficiency in Microsoft Excel and Google Sheets (sorting, filtering, basic formulas). Excellent phone etiquette and interpersonal communication skills. Ability to handle sensitive information with discretion. Prior experience in a medical or healthcare setting is a plus. Detail-oriented and capable of working independently. Comfortable using office equipment such as scanners, printers, and mailing systems.
