Full Job Description Job Summary:

We are seeking an organized and proactive Office Coordinator to handle administrative operations and support functions across departments. Reporting to the Office Manager, this role is responsible for managing supplies, facilities coordination, and providing administrative support for both the office and executive team. The Office Coordinator will also assume select executive assistant responsibilities to free the Office Manager to focus on strategic, HR, and property-related priorities.

Key Responsibilities:
Administrative & Office Support:

Manage and maintain office supplies, ordering, stocking, and tracking inventory. Keep kitchen, supply rooms, and common areas organized and properly stocked. Coordinate mail, deliveries, and courier services. Prepare and set up conference rooms for meetings and events. Assist with document filing, general correspondence, and clerical tasks. Serve as the first point of contact for general office inquiries.

Facilities & Property Coordination:

Support the Property Manager by scheduling vendor visits and tracking maintenance tasks. Log facility-related issues and follow up to ensure completion. Maintain documentation related to repairs, inspections, and vendor services. Assist with facility walk-throughs and minor inspections to support compliance.

Executive Assistance:

Manage day-to-day calendar scheduling for the General Manager and assist with travel logistics. Prepare expense reports and coordinate materials for meetings and presentations. Assist in drafting correspondence, creating reports, and supporting executive-level logistics.

Event & Internal Coordination:

Assist in organizing internal team gatherings, holiday parties, and employee celebrations. Coordinate catering and supplies for company-wide events and executive meetings.

Qualifications:

Previous experience in office administration, executive support, or coordination roles. Strong multitasking and organizational skills with attention to detail. Excellent written and verbal communication. Proficiency in Microsoft Office and standard office systems. Ability to work collaboratively and independently. Bilingual in English and Spanish is a plus.
