Full Job Description Summary:
Office Permitting Assistant will provide critical administrative and coordination support to the permitting departments. This role involves gathering and managing documentation for permitting processes and tracking project milestones. The ideal candidate will be highly organized, a strong communicator, and comfortable juggling multiple tasks in a fast-paced environment.
Responsibilities:
Prepare and submit permit applications to municipalities and regulatory bodies. Track the status of permits and follow up with local agencies as needed. Coordinate with project managers, engineers, and municipalities to gather and submit required documentation. Maintain accurate logs and records for all permits, and related documentation. Assist in ensuring that all compliance and regulatory requirements are met. Communicate with clients and team members to provide updates on permitting status. Support general administrative tasks related to project documentation and scheduling Answering the office phones / customer inquiries and emails Check external company mailbox Print all the permit paperwork, supporting documents and provide them to the supervisor.
Qualifications:
High school diploma or equivalent (associate or bachelor’s degree preferred). 2+ years of administrative experience; construction or roofing industry experience highly desirable. Strong organizational and time management skills with attention to detail. Excellent written and verbal communication skills. Proficient in Microsoft Office (Word, Excel, Outlook) and permitting software. Ability to multitask in a fast-paced environment and meet deadlines.
Preferred Skills:
Experience with contractor licensing and insurance documentation. Knowledge of roofing materials, terminology, and project workflows.
- Knowledge of Acculynx.
Bilingual (English/Spanish) is a plus.
