Job Description

Project Administration Track Safeguard Orlando, FL 32810 No matter where you start on our Project Administration Track – whether you’re an entry-level Project Administrator, an experienced one, or a Senior Project Administrator – our goal is to help you master all the skills and tasks listed below through training, mentoring, and hands-on experience. Getting the Project Ready (Job Setup): Help the Project Manager (PM) set up the project in Sage (refer to the Job Setup Matrix for details). Help or directly enter project settings and administrative information in Procore to get ready for contracts and document management tools. Carefully read the owner’s contract, point out important financial details, and make sure we understand them. Based on the owner’s contract, set up the project’s insurance requirements in MyCOI. Prepare and get the Notice of Commencement (NOC) for the project. Keep track of when it expires using an Outlook calendar. Help set up the project site office, including things like furniture, a permit station, drawings, and supplies. Review and double-check the drawing log and specifications. Keeping Contracts Organized (Contract Control): Set up bid comparisons for the PM to start the buyout process (selecting subcontractors). Create commitment documents (agreements with subcontractors) in Procore, send them out for signatures using Docusign, and forward the bid comparisons to the Preconstruction department. Handle or help with project-specific tasks like certified payroll and the Daily Operations Report (DOP). Keep track of signed commitment documents in Procore and save attachments so the superintendent can see them on their mobile app. Make sure MyCOI reviews insurance certificates quickly and follow up with subcontractors on any that don’t meet our requirements. Keep the Procore directory up to date. Request, track, log, and manage important compliance documents like safety manuals, Safety Data Sheets (SDS), and competent person forms. Managing Permits (Permitting): Help create and maintain a permit log if the PM asks. Help prepare city permit applications and revisions, shop drawing submissions, and the NOC if the PM asks. Handling Finances (Accounting): Ask subcontractors to submit their Schedule of Values (SOV) in Procore for approval before their first invoice (after the contract is issued). Invite subcontractors to submit their invoices monthly through Procore. Review subcontractor payment requests and their attachments in Procore to ensure all conditional lien releases and pay applications are signed and notarized before sending them to the PM for approval in Procore and Timberscan. Process general invoices using Timberscan. Save, track, and log Notices to Owner (NTOs). Follow up with subcontractors to make sure they receive payments on time. Collect, save, and log lien releases for the monthly payment submission to the owner. Help the PM with any job-specific accounting needs. Help prepare the owner’s invoice within the contract’s timeframe. Make sure all supporting documents are included with the payment application, add the G703 form in Sage, and send it to the Client. Help the PM follow up on timely payments from the owner. Send payment notifications to subcontractors, review their releases and required compliance items, and then release their checks. Working with Procore (Procore Management): Help the PM take minutes during Owner-Architect-Contractor (OAC) meetings, if requested. Save important field documents, like inspection reports, in the Procore document tool so the field team can access them. Keep the drawings and specifications updated in Procore. Managing Finances in Procore (Procore Financial): Issue change orders to subcontractors promptly using Procore and Docusign. Closing Out the Project (Project Closeout): Request and keep track of all required closeout documents. Prepare and fill out retainage release forms and final affidavits to get ready for the final payment. Extract all relevant documents from Procore for the owner’s closeout manual. Gather and distribute all final closeout documents. Working with People (Relationships/People): Lead team meetings effectively. Treat subcontractors and vendors as valuable partners. Always prioritize the client’s needs. Build strong working relationships with your teammates. Provide coaching and support to teammates.
