Project Assistant Job Description We are seeking a detail-oriented and proactive Project Assistant to support our project management teams. This role will be instrumental in maintaining project documentation, coordinating permitting processes, and ensuring seamless communication across team members and stakeholders. Responsibilities Assist project managers with day-to-day administrative and coordination tasks. Maintain and update project schedules and trackers using Smartsheet. Support project budgeting, invoicing, and reporting through Deltek Vision. Coordinate and track permitting activities, including application submissions and follow-ups with regulatory agencies. Prepare and distribute project documentation, meeting minutes, and status reports. Facilitate communication between internal teams, clients, and external stakeholders. Monitor project timelines and deliverables to ensure deadlines are met. Help maintain compliance with company and client standards. Support procurement, invoicing, and other operational tasks as needed. Essential Skills 1-3 years of experience in a project support or administrative role, preferably in engineering, environmental, or construction industries. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management tools (e.g., Smartsheet, Microsoft Project, Asana). Familiarity with Deltek Vision is a plus. Familiarity with permitting processes and regulatory documentation is a plus. Additional Skills & Qualifications Associate’s or Bachelor’s degree in Business Administration, Environmental Science, Engineering, or a related field a plus.
