We’re looking for a dedicated Secretary/Administrative Assistant to join our team and help manage the essential administrative tasks that keep our caregivers and clients supported, safe, and in compliance. +

Key Responsibilities Include:

Employee Onboarding & Compliance Guide new hires through paperwork, orientation, and training Collect and maintain proof of vaccinations Set renewal reminders for annual vaccines (e.g., flu shots) Contacts & Communication Maintain an up-to-date point-of-contact list (Google Docs) Share digital and printed contact lists with staff as needed Payroll Support Monitor and alert staff of missed punches Collect and submit correction forms before payroll deadlines Caregiver File Management Organize and update caregiver files with certifications, background checks, immunizations, and training Store files securely in Google Drive and in paper format Conduct quarterly audits to ensure regulatory compliance Certification Tracking Set automated reminders (60/30 days in advance) in Google Calendar Follow up with caregivers and update records accordingly Patient File Management Maintain current care plans, visit logs, consent forms, emergency contacts, and case manager info Ensure documents are securely stored and regularly updated HIPAA Compliance Ensure all patient and employee records are handled and stored in compliance with HIPAA Maintain a digital and physical folder of essential forms (timesheets, incident reports, consent forms, etc.)

Qualifications:

Proven administrative or office support experience (healthcare experience is a big plus!) Strong computer skills (Google Workspace, Microsoft, etc.) Excellent communication and organizational skills Familiarity with HIPAA compliance or willingness to be trained Must be dependable, trustworthy, and able to handle confidential information

$13.00 – $15.00 per hour Expected hours: No more than 12 per week
