Monday – Friday; 9:00 A.M. – 5:00 P.M.
SUMMARY:
The Administrative Assistant supports the Facilities Operations Department by managing office functions, coordinating service requests, assisting with financial and procurement processes, and maintaining accurate records. This role ensures smooth communication between internal teams, vendors, and clients, while supporting the Director with administrative tasks and reporting.
RESPONSIBILITIES
Manage daily office operations including filing, recordkeeping, and document preparation. Maintain department budgets and assist with financial tracking and reporting. Process procurement documents such as purchase orders and invoices; coordinate with Accounts Payable. Track and report time and attendance data; assist with payroll and scheduling. Coordinate annual projects including document preparation and communication with vendors. Maintain confidential personnel records and assist with scheduling and time-off tracking. Support event coordination and logistics as needed. Serve as a liaison between the department, vendors, and clients, ensuring professional communication. Provide administrative support to the Director and assist with departmental reporting. Delegate and oversee student help or temporary staff when applicable.
REQUIREMENTS
Strong organizational and multitasking skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.). Excellent communication and interpersonal skills. Ability to work under pressure and meet deadlines. Professional demeanor and customer service orientation.
EDUCATION
High School Diploma required; some college coursework in business or related field preferred.
EXPERIENCE
Minimum of 5 years in an administrative or office support role. Experience in facilities, maintenance, or operations environments is a plus.
WORK ENVIRONMENT
Standard office setting with typical lighting and temperature. Regular use of computers, printers, and office equipment. May require occasional lifting of materials up to 30 pounds. Moderate noise level typical of an office environment. About Us ABM (
