401(k) 401(k) matching Bonus based on performance Competitive salary Health insurance Paid time off We are looking for an administrative assistant to join our busy Sign shop! The ideal candidate will have experience with billing, inventory management, and most importantly, they should be a Quickbooks expert. This role will include assisting our graphic designer with large sign orders by : Answering phone calls. Creating quotes in Quickbooks and emailing them to customers. Submitting approved quotes for production by filling out order forms. Invoicing orders in Quickbooks, then printing and filing the invoices for pick up. Helping customers in person who need to sign for their order at pick up and collect payment. Logging signed invoices into Quickbooks. Quoting and invoicing in house signage jobs. Creating PO#s for our vendors in Quickbooks and monitoring material costs throughout the year, adjusting pricing of our products according to inflation. Ordering stock inventory and checking to make sure that what we receive is correct. Making sure the stock sign unit is full. If it is low, let the manager know. Taking orders from customers and writing up order forms for production. Answering customer inquiries we receive through email. Filing paperwork such as invoices, completed projects, and customer PO#s. Reviewing weekly A/R aging summary in Quickbooks and contacting any customers who are past due on payments. Tracking customer PO# balances to ensure they don’t spend over budget. Being a liaison between customers and sign shop manager, answering any basic questions the customer may have.

MUST HAVE

: Experience with Quickbooks Administrative Experience Customer Service Experience Strong Written and Verbal Communication Skills Detail Oriented Skills Organizational Skills Google Docs (a plus) Microsoft Excel (a plus) Experience in a sign shop is a plus but not necessary!
