Job Description:

We are seeking a proactive, detail-oriented Administrative Assistant to join our real estate brokerage. This role is critical in maintaining a supportive and organized office environment, assisting the Manager with day-to-day tasks, and providing excellent service to agents and clients. The ideal candidate will thrive in a dynamic setting, possess strong organizational skills, and take pride in contributing to a positive office culture.

Qualifications:
Education:

High school diploma required; an associate degree or higher is a plus

Experience:

Minimum of 2 years of administrative experience, preferably in a real estate, marketing, or professional services environment Familiarity with real estate industry operations is preferred but not required

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace Strong written and verbal communication skills Excellent organizational and multitasking abilities Familiarity with CRM tools, transaction management software, and MLS is a plus (e.g., Lone Wolf, AppFiles, etc)

Key Responsibilities:

Administrative Support Manage day-to-day office operations, including answering phones, handling emails, and greeting agents/clients/visitors Assist Manager with maintaining calendars and scheduling office meetings/events Assist the Manager with workload, including updates to files, listing and sales boards, etc Act as the “eyes and ears” for the Manager when they are absent, addressing issues proactively. Transaction Coordination Assist agents with transaction documentation, ensuring all paperwork is completed accurately and on time Maintain transaction files and ensure compliance with company and state regulations Manage check requests, accounts receivable, commission checks, deposits, and escrow deposits. Marketing and Communication Support Assist agents with using company provided tools in preparing templated marketing materials, listing presentations, and open house flyers Assist Manager with creating PowerPoint slides for office meetings Assist Manager with creating flyers/announcements for office meetings/events Capture photos and videos for social media content and aid in managing office social media pages. Agent Assistance Serve as a resource for agents, helping them with onboarding, training on agent tools, and general support Order and maintain office supplies, ensuring agents have access to necessary materials Asist with signage ordering and installation for agents. Event Coordination Assist in planning and organizing office events, such as meetings, client appreciation gatherings, or team-building activities Problem-Solving and Special Projects Address office-related issues proactively and handle miscellaneous tasks assigned by leadership
