Palm Beach Sailing Club is a vibrant, member-driven sailing community dedicated to promoting the sport of sailing for all ages and skill levels. From youth programs to adult regattas, PBSC is a hub for fun, competition, education, and camaraderie on the water. We’re seeking a reliable, upbeat, proactive and experienced Executive Assistant to help streamline operations and support our leadership team.
Position Summary:
The Executive Assistant will play a key role in supporting the General Manager and Club leadership with a variety of administrative, scheduling, communication, and coordination tasks. This role requires excellent organizational skills, attention to detail, and the ability to work independently in a dynamic environment. Social media experience a plus.
Key Responsibilities:
Assist the general manager in the daily activities and tasks of running the club. Responsible for coordination of the club calendar, schedule meetings, and coordinate internal and external appointments and marketing for special events. Assist in planning and supporting board meetings, including agenda preparation and meeting set up. Serve as a point of contact between the General Manager and staff, members, vendors, and community partners. Assist in organizing club events, fundraisers, and regattas with logistical and administrative support. Track deadlines, memberships, permits, licenses, and renewals. Help manage documents, files, and records (physical and digital). Support light bookkeeping tasks, expense tracking, and member invoicing as needed. Provide general office management support (supplies, filing, etc.). Positive, upbeat, attitude when liaising with new and existing club members
Qualifications:
Prior experience as an Executive Assistant, Administrative Assistant, or similar role Strong communication and interpersonal skills — both written and verbal Organized, detail-oriented, and capable of juggling multiple responsibilities Proficiency with Microsoft Office and Google Workspace Discretion and professionalism when handling confidential information Ability to take initiative, problem-solve, and follow through on tasks independently
