Job Description

Administrative Assistant 3.8 3.8 out of 5 stars Boca Raton, FL 33433 Our client, a well-established commercial real estate firm in Boca Raton, is seeking a detailed administrative assistant with experience in commercial property management, to support daily operations across its property portfolio. This role provides critical behind-the-scenes support for leasing, maintenance, and vendor management, helping ensure a smooth experience for tenants and internal teams. This is 100% on-site role and moving quickly; local applicants only – no flexibility on worksite.

Key Responsibilities:

Provide daily administrative assistance to the property management team Coordinate tenant move-ins/move-outs and capital projects Prepare and process purchase orders and vendor invoices Track and follow up on rent payments and past due balances Prepare reconciliation spreadsheets and legal status reports Maintain and update tenant contact info and gross sales reports Manage vendor COIs, liability insurance, and permit applications Communicate with maintenance staff to address tenant issues Maintain up-to-date vendor contact and insurance information Assist in processing new leases and sending out welcome packets Prepare renewal and option letters for tenants Support with general liability claims and store opening/closing reports Answer incoming calls and greet visitors Coordinate mail, deliveries, and alarm system notifications Support ad hoc administrative duties as needed

Ideal Candidate Will Have:
