Job Description

We are seeking a reliable, adaptable, and professional Administrative Assistant to join a small but dynamic home health agency team in West Palm Beach. This role is ideal for someone who thrives in a fast-paced, collaborative environment, can juggle multiple priorities with ease, and communicates clearly and effectively with both staff and clients.

Key Responsibilities:

Answer and direct incoming phone calls in a professional and courteous manner Perform general administrative tasks, including filing (paper-based), data entry, and document organization Monitor and manage email communications, printing and forwarding messages to the appropriate team members Track and update caregiver credentials and certifications, ensuring all records are up-to-date Collect and assist with timesheet submissions via email and follow up on missing or incomplete entries Support the scheduling team by reaching out regarding time discrepancies or caregiver availability Assist with the intake and application process for new hires, including scheduling interviews, communicating required documentation, and coordinating meetings with nursing staff Provide administrative support to the Office Manager on special projects and daily office needs Use internal software systems (Matrix) for data tracking and caregiver/client information management Contribute to overall office operations by wearing multiple hats and helping wherever needed

Personable and professional demeanor with strong communication skills Comfortable interacting with elderly clients and their families, including those who may be particular or direct in their communication style Adaptable, coachable, and not easily rattled – able to pivot priorities as needed throughout the day Self-motivated and detail-oriented; stays focused in an open office environment Able to work both independently and collaboratively as part of a small, tight-knit team Strong organizational and time management skills Comfortable working with technology, email systems, and software (experience with Matrix a plus) Interest or background in the healthcare, nursing, or home health field is a bonus This position starts as a temporary assignment with the potential for transition to a 1099 contractor role.
