Monday-Friday, 9:00 AM-5:00 PM | ASAP Start A small family office is seeking a seasoned Administrative Assistant to support their Senior Executive Assistant. Overseeing a portfolio of 12+ residential and commercial properties, the role requires maturity, discretion, and meticulous attention to detail.

Key Responsibilities:

Provide administrative support to the Senior Executive Assistant​​ Organize and maintain physical files and binders (significant filing involved) Track expenses and reconcile credit card statements Schedule and coordinate vendors for property maintenance Run routine errands (bank, post office, grocery deliveries, etc.) Monitor and restock office supplies Manage vehicle-related needs (insurance, DMV paperwork, servicing) Assist with vendor documentation and Certificates of Insurance Support occasional travel planning and calendar management

Qualifications:

Minimum 10 years of administrative experience, ideally in a private office or family setting Bachelor’s degree required Proficient in Outlook, Google Workspace, and Excel Exceptionally organized and detail-oriented Strong written and verbal communication skills Independent, dependable, and responsive to direction High level of discretion and professionalism (NDA required) Valid driver’s license and clean driving record Notary license preferred Familiarity with vendor management and DMV protocols is a plus ​​​​​​​Flexibility to respond outside of business hours via text/email, when needed
