Monday-Friday,9 am – 4:30 pm | ASAP Start A small, respected family office in Boca Raton is seeking a seasoned Administrative Assistant to support their Senior Executive Assistant in managing a diverse portfolio of 12+ residential and commercial properties. This role demands maturity, discretion, and attention to detail. You’ll join a tight-knit team of 3-4 in a peaceful, professional setting where kindness, respect, and loyalty are the foundation. Responsibilities :
Support the Senior Executive Assistant with day-to-day operations Maintain and organize detailed paper and digital filing systems Track expenses and reconcile credit card statements Coordinate vendors for routine property maintenance Run errands: bank, post office, grocery deliveries, etc. Monitor and restock office supplies Handle administrative tasks related to company/family vehicles (insurance, DMV, servicing) Assist with Certificates of Insurance and vendor documentation Support occasional calendar and travel coordination
Requirements:
10+ years of administrative experience in an office setting – required Bachelor’s degree strongly preferred Proficiency in Outlook, Google Workspace, Excel, & Microsoft Teams Impeccable organization and attention to detail Clear and professional communication skills High discretion and maturity; NDA required Valid driver’s license and clean driving record Notary license and vendor/DMV experience are a plus Willingness to respond after hours via text/email, if needed
