This role is essential in supporting our Recruitment, Learning & Development, Workforce and Payroll functions and ensuring a smooth operation within our human resources department. Job Summary:
The New Hire Administrative Assistant will perform administrative task and services to support effective and efficient operations of the organization’s Learning & Development department.
Duties/Responsibilities:
Position will focus on the onboarding process including recruitment sourcing, filing, applicant tracking, following up and preparing candidates for HRIS Payroll for New Hires and training coordination Processes and tracks required tasks for employee transfers, changes in job classification, retention, terminations and other related employment matters. Maintains and assist with workforce and attendance of New Hires within their first 8 weeks of employment Assist trainees with inquiries about their position, pay, and schedules Answers frequently asked questions from candidates and employees relative to standard policies. Will refer more complex questions to appropriate senior-level management. Assist with planning and execution of special events, organization-wide meetings, employee recognition events, holiday parties, and department events. Provides support to the recruitment and learning and development leaders, including VP Maintains accurate and up-to-date resource files, record, and documentation. Maintains knowledge of the company’s attendance and trainings programs to properly interpretant to candidates and New Hires. Maintains the integrity and confidentiality of human resources files and records. Collaborates with other departments including Human Resources and Sales. Provides clerical support to the Recruitment and L&D departments. Performs other duties as assigned. Reliable and maintains satisfactory attendance.
Competencies:
Excellent verbal and written communication skills Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organizational skills and attention to detail. Proficient with Microsoft Office Suite or related software. Proficient with or the ability to quickly learn payroll management, workforce, human resource information system (HRIS), and similar computer applications.
Education and Experience:
Associates degree in related field preferred. High School diploma required. Prior related office experience required.
Physical Requirements:
This is largely a sedentary role; however, filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to lift up to 15 pounds at times.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5 p.m. Schedules are subject to change at any time.
