POSITION GOAL

The Office Assistant serves as a vital member of the school’s administrative team, providing essential clerical and organizational support to ensure the smooth daily operations of the school office. This role helps maintain a welcoming and efficient environment for students, families, staff, and visitors by assisting with communication, record keeping, scheduling, and general office tasks. The Office Assistant contributes to the overall mission of Advent School by supporting a culture of hospitality, excellence, and Christian service in all administrative functions. Duties and Responsibilities The following list is illustrative of tasks and responsibilities; however, it is not meant to be all-inclusive of every task or responsibility: Perform a variety of clerical tasks to support the administration, teachers, staff, students, and families in the daily operations of Advent School. Greet and assist students, families, staff, and visitors with warmth and professionalism, reflecting the school’s Christian values and commitment to exceptional customer service. Receive and route telephone calls; respond to or direct inquiries from parents, students, staff, and the public with tact, judgment, and a solutions-oriented approach. Respond to emails and follow up with appropriate individuals to ensure resolution of questions, concerns, or issues. Maintain updated and accurate records of general correspondence, student information, attendance, and organizational documents. Support the Office Manager with scheduling meetings, organizing school activities, managing student check-ins/check-outs, and distributing student materials. Provide clerical support such as filing, copying, data entry, managing mail, and distributing school communications. Prepare reports and maintain data, statistics, and other informational records as needed. Operate standard office equipment, including phones, copiers, and computers, as required. Provide light school nurse assistance (e.g., administering Band-Aids, ice packs, taking temperatures) and communicate minor injuries or illnesses to parents/guardians per school protocol. Monitor and restock office and nurse supplies. Assist in coordinating logistics for school events and participate in general administrative projects as assigned by the Office Manager or School Leadership Team. Provide classroom coverage for teachers and assistants as needed. Participate in AM/PM carline duties and supervise lunch as assigned. Ensure adherence to safety rules and procedures and follow all Advent School policies and applicable federal and state regulations. Maintain confidentiality and discretion in all interactions and documentation involving students, families, and staff. Exhibit Christian character at all times in communication and interactions with students, families, co-workers, and the broader community. Promote a calm, respectful, and welcoming office atmosphere that supports positive school culture and community engagement. Participate in weekly staff meetings, workshops, staff devotionals, and professional development opportunities to enhance job-related skills and performance. Stay informed of school practices, current developments, and procedures related to job responsibilities. Perform duties as outlined in the employee’s current commitment letter and fulfill additional responsibilities as assigned. MINIMUM QUALIFICATIONS & EXPERIENCE

Standard high school diploma or equivalent. Clerical experience. knowledge of clerical practices and procedures including filing, answering telephones, or utilizing standard equipment. Proficient in the operation of office machinery and equipment, including personal computers, fax machines, printers, scanners, and copy machines. Effective verbal and written communication skills. Advanced organizational skills and keen attentiveness to detail. Computer skills as required for the position. Must be a committed Christian and able to support and uphold the school’s Statement of Faith and Christian mission, as permitted under Title VII of the Civil Rights Act and applicable to faith-based organizations.

PHYSICAL REQUIREMENTS

Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently as needed to move objects.

All candidates offered a position at Advent School are subject to a national pre-employment background check. Employment is contingent upon the completion and review of a successful background check and drug screening.

Performance will be evaluated in accordance with the Advent Elementary Middle School policy.
