The Office Administrator plays a crucial role in ensuring the smooth operation of our office environment. This position involves overseeing administrative functions, managing front desk activities, and providing support to various departments. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. This role is essential for maintaining effective office operations. Responsibilities Answer incoming phone calls and respond to customer inquiries in a friendly and professional manner. Engage with clients, understand their needs, and provide tailored product recommendations. Assist customers in selecting landscape products and provide exceptional customer service to enhance their shopping experience. Prepare and type quotes for clients, ensuring accuracy and timely delivery. Close sales deals and follow up with clients to ensure satisfaction and repeat business. Process sales transactions accurately using the cash register and POS systems. Perform administrative tasks, such as maintaining records, processing orders, and managing inventory. Creating purchase orders and receiving the material in Point of Sale. Emailing clients invoices and monthly statements. Following up with clients and collecting deposits/final payments. Assist Controller with other Admin duties. Communicate effectively with team members and external partners to ensure smooth operations. Requirements Proven experience in an administrative role or similar position. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent verbal and written communication skills. Familiarity with one or all the following software’s: QuickBooks POS & Desktop, Microsoft Office, Aspire is highly desirable. Excellent communication skills, both verbal and written. Ability to work independently as well as part of a team in a fast-paced environment.
