Our core business focuses on cleanup and mitigation efforts for recovery from fire damage, roof leaks, flooding, pipe bursts, and post-disaster remediation due to severe weather. We exclusively serve commercial sectors including hospitality, senior housing, healthcare, commercial offices, municipalities, multifamily living, and institutional markets.

SUMMARY:

The Sales Administrator plays a vital role in supporting the sales and marketing teams by managing CRM systems, coordinating client-facing materials, and ensuring the smooth execution of internal and external events. This position is responsible for maintaining accurate client and project data, assisting with marketing logistics, and handling various administrative tasks that contribute to overall team efficiency. The ideal candidate is detail-oriented, highly organized, and able to juggle multiple priorities in a fast-paced, collaborative environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Sales & CRM Administration Administer and maintain CRM platforms, assisting team members with setup, activity tracking, deal updates, and data cleanup. Manage BlueTeam App uploads and updates including client onboarding, property and portfolio setup, job creation, SOP edits, and user credentials. Prepare client materials including project update packets, presentations, and contracts (MSAs) for e-signature. Generate and maintain templates for client-facing presentations. Monitor and respond to weather alerts for non-assigned clients. Office Operations & Administrative Support Maintain weekly office supply inventory and place supply requests. Assist with front desk tasks Submit and track requests to office facilities lead Coordinate weekly in-office engagements like Friday bagels. Support CEO with expense reports and approvals. Assist in responding to RFPs as needed. Marketing & Event Support Manage BlueTeamShop inventory and user accounts (add/remove users, allocate funds, reorder stock). Coordinate new hire marketing materials (bags, shirts, nameplates). Organize and coordinate event logistics (travel, registration, shipping booths/materials, vendor booking). Track event-related tasks using Monday.com boards and calendar systems. Manage marketing inventory and outbound/inbound shipments. Oversee creation and distribution of business cards (in coordination with HR/IT).

QUALIFICATIONS

Previous experience in sales support, administrative, or coordinator role preferred. Proficiency in CRM platforms and productivity tools (e.g., Microsoft Office, Monday.com, DocuSign). Excellent organizational, communication, and multitasking skills. Strong attention to detail and ability to prioritize tasks. Comfortable working independently and as part of a cross-functional team.
